How to cancel Heidi Health and take your notes with you

أبرز النقاط

  • This guide will provide guidance to get you out of the annual prepaid plan and refund you for unused time.
  • Before you cancel, get your templates and past visits out using the free Hanah Chrome extension.
  • Cancel in the Heidi web app under Settings, then Billing, and keep the confirmation.

Step 1: Get your templates and notes out

Do this before you cancel, while your account still has full access.

The free Hanah Chrome extension moves your Heidi account into Hanah from one screen.

  1. Install the extension and sign in to Hanah.
  2. Open Heidi in the same browser and click Migrate to Hanah.
  3. Pick what to bring over and click import.

It brings over your templates, your past sessions with their transcripts, notes, attachments and forms, and invites your teammates to your Hanah clinic. Nothing is deleted from Heidi. You can run both side by side until your Heidi period ends and run the import again to pick up any sessions you recorded in the meantime. Full details are in our Heidi alternative guide. Hanah's Practice plan starts with a 1-month free trial and no card.

Heidi itself exports notes one at a time as PDF or Word. Bulk export is an open request on Heidi's feedback board, where a clinician asked for a zip of every note because saving them one by one took too long for a large caseload.

Check your data retention setting while you're there. Heidi can delete sessions automatically after a period you choose, and deleted sessions cannot be recovered.

Step 2: Cancel your subscription

  1. Sign in to Heidi in a web browser.
  2. Open Settings, then Billing, and choose Manage Billing on your current plan.
  3. Follow the cancellation steps through to the end.
  4. Keep the confirmation email or take a screenshot of the confirmation screen. Some Trustpilot reviewers report being charged after they cancelled, and the confirmation is your evidence if that happens to you.

You keep your plan until the end of the period you've paid for, and on an annual plan Heidi's pricing page says you won't be charged for the next year. Cancel before your renewal date, which is shown on the same Billing page.

If your clinic pays for Heidi on a team or Practice plan, whoever manages billing has to cancel it.

To have your account and its data deleted, clause 11.1 of Heidi's terms lets you delete it in settings or by emailing support@heidihealth.com. Do this only after Step 1.

Step 3: Get your money back on a prepaid year

Do these in order, the same day you cancel. Keep every email and screenshot, since each step is evidence for the next.

Email Heidi for a refund

Send this to support@heidihealth.com, filled in with your details:

Subject: Refund request for unused subscription

Hi Heidi team,

I have cancelled my Heidi subscription (account email: [your email], plan: [your plan], paid [amount] on [date]). Please refund the unused months of my prepaid subscription.

[If anything went wrong, list it: lost sessions or recordings, outages, notes you couldn't use, with dates and ticket numbers.] Under the Australian Consumer Law I am entitled to cancel and receive a refund for the unused part of a service that has not been provided with due care and skill or is not fit for purpose, and clause 12.4 of your Terms of Use preserves that right.

I also do not accept the changes in your Terms of Use dated 29 September 2026, and I am ending my agreement under clause 14.2, which provides a pro rata refund.

Please confirm the refund amount and date within 14 days.

[Your name]

In the UK, replace the Australian Consumer Law sentence with: "Under the Supply of Goods and Services Act 1982 the service must be provided with reasonable care and skill." Give Heidi the 14 days. If they refuse or don't reply, move to the next step.

Lodge a chargeback

A chargeback asks your bank or card provider to reverse the payment. Use it if:

  • you were charged after you cancelled
  • you were charged a renewal you didn't expect or agree to
  • you paid for a service that wasn't provided, or wasn't provided as described

Call your card provider or use the dispute option in your banking app. Send your cancellation confirmation, your invoice, your emails with Heidi and your list of failures. Card scheme rules generally allow 120 days from the charge, or from when the service should have been provided, and some banks allow less. Lodge it as soon as you can.

A chargeback doesn't end your contract with Heidi. Cancel in Heidi as well. If your bank handles the dispute badly, complain to the Australian Financial Complaints Authority or, in the UK, the Financial Ombudsman Service.

Complain, then file a small claim

If Heidi refuses, lodge a complaint with Consumer Affairs Victoria, since Heidi's terms use Victorian law, or your own state's fair trading office. The Australian Small Business and Family Enterprise Ombudsman also helps small businesses in disputes with suppliers. A complaint is free and often settles it.

If that doesn't work, apply to your state's civil tribunal, such as VCAT in Victoria or NCAT in New South Wales. Fees are low and you don't need a lawyer. In England and Wales, use the small claims track of the county court.

الأسئلة الشائعة

Can I get a refund on my Heidi annual plan?

Ask. Email support@heidihealth.com using the template in Step 3, then lodge a chargeback and complain to consumer affairs if they refuse. In Australia you're entitled to a refund for the unused part if the service failed to do the job, and Heidi's own terms give a pro rata refund if you end the agreement over its 29 September 2026 terms change.

Can I do a chargeback on Heidi?

Yes. Ask your card provider to dispute the charge if you were charged after cancelling, charged a renewal you didn't agree to, or paid for a service that wasn't provided as described. Lodge it quickly, since most card schemes allow around 120 days and some banks less, and cancel in Heidi as well.

What happens to my notes when I cancel Heidi?

You keep access until the end of your paid period. Clause 11.3 of Heidi's terms lets you request an export of your retained content within 30 days after termination. Moving your templates and sessions into Hanah before you cancel means you don't have to rely on that request.

Can I cancel Heidi from the mobile app?

Heidi's support guide gives the billing steps for the web app. Sign in to Heidi in a browser and go to Settings, then Billing.

Does Heidi lock you into a contract?

Paid plans renew automatically, and the Practice plan is annual only. You can cancel at any time, and Step 3 covers getting back what you prepaid.
