Hanah for occupational therapists

For Australian occupational therapists, Hanah is the scribe to use. It drafts the assessment in your format, the NDIS or funder report from the same home visit, and the plan the client follows between visits. It files into Cliniko, Halaxy, Nookal or Zanda. The price does not rise when the week is full of home visits.

Australian occupational therapy notes

An OT week covers several funders, much of it in the client's home. You will write some mix of:

• an NDIS plan reassessment or functional capacity report, with a justification for each support you recommend (the NDIA's guide for allied health providers)
• an NDIS assistive technology assessment on the NDIA's AT assessment templates, or a minor or complex home modification assessment with floor plans and photos
• a home modification prescription under Support at Home, which replaced Home Care Packages on 1 November 2025 and requires an OT to prescribe every home modification (Department of Health, Disability and Ageing)
• the written report back to the referring GP after the first and last service under a GP chronic condition management plan, billed as item 10958 (MBS Online)
• a DVA end of cycle report to the veteran's GP after up to 12 sessions or a year (DVA), and Rehabilitation Appliances Program equipment prescriptions
• for an injured worker in Victoria, the household help services needs assessment and an Allied Health Recovery Management Plan by the fifth consultation (WorkSafe Victoria)
• a home visit note covering ADLs, transfers and the bathroom you measured, often with a photo

A generic SOAP note does not cover that set. Either the scribe drafts each of those from the visit, or you rebuild the same templates by hand and copy the report across.

Hanah

Hanah is an all in one AI medical scribe designed for occupational therapy cases. Going beyond text you can include photos and videos as part of your clinical record keeping. You can start with templates for an initial assessment, a progress note, a discharge summary and a referral letter. Already have an NDIS report, one of the NDIA's Word templates or a WorkSafe form? Photos and video taken in the home, such as the bathroom you assessed, go into the note and the documents. Recording continues when the connection drops between rooms and uploads when you are back. If recording in the room is not practical, dictate after the visit instead.

If you run Cliniko, Halaxy, Nookal or Zanda, Hanah works inside it in the browser. The note files into the form you already use. The integration is on the plan, not an add-on.

After you accept the note, the same visit drafts a care plan the client reads on their phone. Each strategy, home change and piece of equipment you recommended gets a card saying when in the day it fits, with a check-in before the next visit. Film a transfer technique on your phone to add it as a card. Nothing new reaches the client until you approve it.

Grounded Scribe

Grounded Scribe is an Australian note product. Its OT comparison lists functional capacity, AT and NDIS templates, NDIS report generation with "NDIA-compliant formatting", and Australian data hosting. It publishes an item 10958 template. Its Cliniko page says notes push into Cliniko, lists Halaxy and Nookal too, and says every plan includes all integrations.

Its pricing page meters sessions. Free is 10 a month. Plus is A$19 for 30. Core is A$39 for 60. Pro is A$69 for 120. Max is A$99 for unlimited, or A$89 a month billed annually. Those prices exclude GST. Custom templates are capped at 5, 10 or 25 until you reach Max. The pricing table also lists treatment plans and client portal invitations.

We could not find photos in the note or a published error rate.

Heidi Health

Heidi is a general medical scribe: notes, templates, and a long integration list. Its allied health page lists occupational therapists and says NDIS reports, progress notes and insurer certificates are created from a single session. Its Cliniko page says that connection is available on Practice and Enterprise. The free plan covers standard templates; advanced templates sit on the paid tiers.

Heidi publishes satisfaction statistics. We could not find a measured hallucination rate. As of writing, Clinician is A$85 a month billed annually or A$120 monthly, and Practice is A$130, annual only.

Everbility

Everbility is a documentation assistant made by allied health professionals. Its home page covers transcribed sessions, uploaded PDFs and images, custom templates and Word export. Its guides cover filling PDF forms, patient handouts, and integrations with Cliniko, Halaxy and Nookal.

Its pricing page has one Professional plan: A$50 per user a month, or A$35 billed annually, excluding GST, with a 7-day trial and a 30-day money back guarantee.

We could not find a published data hosting location or a measured error rate.

Capacoty

Capacoty is an Australian AI report writer for occupational therapists. Its home page covers eight NDIS and aged care report types, including FCAs, AT, home modifications and AT-HM prescriptions. It works from your notes: "no recording and no microphone in the room". Nothing is written to your clinical record for you. Data is hosted in Sydney.

Its pricing page meters credits. Free covers about one report a month. Starter is $59 a month for up to 8 reports. Professional is $109 for up to 18. Practice is $199 for up to 40. An FCA costs 100 credits.

We could not find a Cliniko, Halaxy, Nookal or Zanda integration, a plan for the client, or a published error rate.

Notes on the table

A full week and a cap. Grounded Scribe's Pro plan is 120 sessions a month, six recorded consults a day across a twenty-day month. A busier list moves to Max, at A$89 a month billed annually plus GST. Capacoty's Practice plan stops at about 40 reports a month. Hanah's Practice plan is a flat A$80 billed annually, unlimited, with the integration and the client's plan included.

The report. An NDIS or home modification report takes longer to write than the note. Hanah fills the NDIA's Word template, or yours, from the visits you recorded and puts the bathroom photo in it.

After the note. The perching stool and the new way out of bed are used between visits. Hanah drafts the client's plan from the same visit and puts it on their phone.

Filing the note. Copying out of a second tab is how scribes get dropped. Hanah runs inside Cliniko, Halaxy, Nookal and Zanda on the plan you would actually buy. Heidi's Cliniko connection needs Practice or Enterprise. Capacoty does not write to your clinical record.

Error rates. Ask every vendor for a measured error rate and the method behind it. We publish ours, and the test recordings include a scripted OT home visit with a television on in the background.

The bottom line

If all you want is the note, Hanah drafts it, and we publish our benchmarks so you can check how well.

Those four stop at the documentation. Hanah does the documentation and the work it sits in: the filled NDIA template, the GP letter, the photo, the strategy and the client's plan, out of the same visit, landing where you already work.

Record a bathroom modification assessment on a real client. Check that the transfers you described are in the note, the home modification template is filled with the measurements you said, the bathroom photo is in the report, and the new strategy is on the client's phone. Run a trial like that before you commit.

Can an AI scribe draft an NDIS functional capacity or AT report?

Can an AI scribe draft MBS item 10958 reports?

What does Ahpra expect when an OT uses an AI scribe?

Ahpra's guidance on AI applies to occupational therapists. You are responsible for checking the accuracy of records an AI tool creates, and you need the client's informed consent before you use it. Hanah asks for consent before recording, and every draft waits for your review.

What should I try in a week?

Use it on your own caseload, in your own PMS: a home visit, an NDIS report, a CDM review and a DVA client. If the note, the report, the photo and the client's plan all come out of the same recording, keep it.
